What is HostFiler?

HostFiler is a suite of professional tools designed specifically for short-term rental (STR) hosts. It helps you create digital guestbooks, cleaning checklists, house rules, Wi-Fi signs, guest messaging templates, and more — all from one dashboard.

Who is HostFiler for?

HostFiler is built for Airbnb, Vrbo, and other short-term rental hosts — whether you manage a single property or a portfolio. It's also great for property managers and co-hosts looking to standardize and professionalize their operations.

Do I need to install any software?

No. HostFiler is entirely web-based. Just sign up, log in, and start using the tools from any device with a browser. There's nothing to download or install.

Tools & Features

What tools are currently available?

We currently offer five live tools: Guestbook Generator (digital guest guides with QR codes & PDF exports), Wi-Fi Sign Maker (printable signs with QR codes), Cleaning Checklist Builder (room-by-room turnover checklists), House Rules Generator (property policy documents), and Guest Messaging Templates (pre-written message libraries for guest communication).

Can I share the documents I create with my guests or cleaning team?

Yes! Every tool supports publishing with a unique shareable link. You can set visibility to Public, Unlisted (link-only), or Password-protected. Guests and team members can view the published page on any device without needing an account.

Can I create documents for multiple properties?

Absolutely. There's no limit to the number of guestbooks, checklists, or other documents you can create. Each one can be customized for a different property.

Are more tools coming?

Yes! We're actively working on Check-in Instructions and a Revenue Dashboard. You can see upcoming tools marked as 'Coming Soon' in the Tools menu.

Tokens & Pricing

How does the token system work?

HostFiler uses a pay-as-you-go token system instead of monthly subscriptions. Each action (like creating a guestbook or publishing a checklist) costs a set number of tokens. You can see the cost before confirming any action.

Do I get any free tokens?

Yes! New users receive free tokens when they sign up so you can try the tools immediately. Free tokens have an expiration date, while purchased tokens never expire.

How do I get more tokens?

You can purchase token packs or redeem coupon codes from the Usage & Tokens page (available under your profile menu). Purchased tokens never expire.

Why tokens instead of a subscription?

Many STR hosts only need tools occasionally — for onboarding new properties or seasonal updates. With tokens, you pay only for what you use. No monthly fees eating into your margins during low seasons.

Account & Security

How do I create an account?

Click 'Sign Up' on the homepage and register with your email and password, or use Google sign-in for one-click access.

Is my data secure?

Yes. We use industry-standard encryption, secure authentication, and never share your data with third parties. You can delete your account and all associated data at any time from the Settings page.

Can I update my property information?

Yes. Go to Settings from your profile menu to update your personal info and property details. Property information can auto-fill fields when creating new documents.
